FieldN back office — accounting and VAT

Field service accounting software: double-entry books that come from the jobs

Most service companies run the field in one app and the books in another, and an accountant retypes every invoice. In FieldN the books are written by the jobs themselves.

Quick answer

FieldN accounting is the accounts desk of the back office. It is real double-entry: a chart of accounts, a journal, a general ledger by account, a trial balance, profit and loss and a balance sheet. You do not post entries by hand — an issued invoice, a payment, an expense, a purchase order, a stock movement and a payroll run each post on their own, and an edit or a cancellation reverses the entry properly. Company cash and bank accounts take deposits, withdrawals and transfers; customers and vendors have statements and opening balances; and the VAT report is laid out as a return (UAE VAT 201 style) with the documents behind each box, exported as PDF or Excel. See everything in FieldN.

What the accounts desk does

Books that write themselves

Invoices, receipts, credit notes, expenses, purchases, stock and payroll post to the ledger when they happen, on the document's own date.

The full set

Chart of accounts, journal, general ledger, trial balance, profit and loss, balance sheet.

Cash and bank

Company accounts for each cash box and bank account, with deposits, withdrawals and transfers between them.

VAT return ready

Output tax, input tax and net tax due in a return layout, with the invoices and expense bills behind every box. PDF or Excel.

Customer and vendor money

Statements from the ledger, opening balances, advances, customer credit and vendor bills — the statement cannot drift from the books.

Matches the books check

The daily, collection and summary reports show whether the documents and the ledger agree, so a gap is found the same day.

Three apps, one system: a booking portal and app for your customers, a technician app for Android and iPhone, and the office back end for dispatch, contracts, stock, invoices and HR. See all FieldN features.

A month in the books

  1. Sales: every issued invoice credits income and tax payable and debits receivables; a deposit on a draft is held as customer credit until the invoice is issued.
  2. Money in: a card payment or cash receipt clears the receivable into the right cash or bank account.
  3. Money out: job expenses with VAT, vendor bills, purchase orders and payroll post to expenses, stock and payables.
  4. Corrections: an edited invoice is reversed and re-posted on its own date; a credit note reverses the right amount.
  5. Month end: trial balance, profit and loss, balance sheet and the VAT return — exported as PDF or Excel for the accountant.

Tax by country

FieldN uses your own currency and tax rates. The VAT report follows the UAE VAT 201 layout and works for any VAT or GST country as output tax, input tax and net tax due, split B2B and B2C. E-invoicing is built in for Saudi Arabia (ZATCA Phase 2) and the UAE (PINT AE). India GST e-invoicing (IRN) and GSTR return reports are not in FieldN today. The books keep one currency per company.

Field service accounting software — frequently asked questions

Is FieldN accounting real double-entry?

Yes. Every posting is a balanced journal entry against a chart of accounts, and you get a journal, general ledger, trial balance, profit and loss and balance sheet.

Do I have to post entries by hand?

No. Invoices, payments, credit notes, expenses, purchases, stock movements and payroll post on their own. An edit or a cancellation reverses the entry properly.

Can FieldN prepare my VAT return?

Yes. The Tax Report lays out output tax, input tax and net tax due in a return format (UAE VAT 201 style) with the documents behind each box, and exports to PDF or Excel.

Can I give my accountant access?

Yes. A Finance role sees Finance, Accounting and the reports without the operations screens, and every report exports.

Does FieldN handle more than one currency?

Each company keeps its books in one currency. Set the currency and tax rates in Settings.
