FieldN back office — invoicing and payments

Field service invoicing and payments software: bill from the job, get paid on the link

The job is done, but the invoice goes out two days later and the money a month after that. FieldN raises the invoice from the job and sends the payment link before the technician leaves.

Quick answer

FieldN invoicing is the billing desk of the back office. An invoice is raised from a job, a quotation or a contract schedule, on your own template and number series, with your tax rates. It goes out by email or WhatsApp with a payment link; the customer pays by card through the gateway you connect, or you record cash, bank transfer or cheque with who collected it. Receipts settle the oldest invoice first and any extra stays as customer credit; credit notes and refunds reverse cleanly; the Outstanding Jobs page shows work done but not yet billed, and every customer has a statement. All of it posts to the books on its own. See everything in FieldN.

What the billing desk does

Invoice from the job

Services, parts used and extra charges come from the job card; tax is applied by your rates; the PDF uses your template.

Payment links

Every invoice and job can carry a payment link, sent on WhatsApp or email. Customers pay by card and the invoice marks itself paid.

Your gateway

Stripe, Razorpay, Tap, PayTabs, Telr, HyperPay or PayPal — set the keys once in Settings.

Cash and bank too

Record cash, transfer or cheque receipts with the collector, so the collection report ties out by person and by method.

Credit notes and refunds

A credit note or refund reverses the invoice and the ledger entry properly; the invoice never goes back to draft.

Nothing unbilled

Outstanding Jobs lists completed jobs with no invoice; dues and statements show who owes what.

Three apps, one system: a booking portal and app for your customers, a technician app for Android and iPhone, and the office back end for dispatch, contracts, stock, invoices and HR. See all FieldN features.

An invoice, start to finish

  1. Job done: the technician completes the job with 2 parts used and the customer's signature.
  2. Invoice: the office (or a workflow rule) raises the invoice from the job; the PDF carries your logo, series and tax breakdown.
  3. Send: the invoice goes on WhatsApp with a payment link.
  4. Paid: the customer pays by card; the payment settles the invoice and shows on the collection report under the gateway.
  5. Books: the sale, the tax and the receipt are in the ledger; the customer statement shows a zero balance.

Field service invoicing and payments — frequently asked questions

Can a technician take payment on site?

Yes. The job carries a payment link the customer can pay by card, and cash or transfer can be recorded against the job with the collector's name.

Which payment gateways does FieldN support?

Stripe, Razorpay, Tap, PayTabs, Telr, HyperPay and PayPal, plus manual recording of cash, bank transfer and cheque. You connect one gateway in Settings with your own keys.

Can I invoice AMC contracts automatically?

Yes. A contract has a billing schedule, and contract invoices are raised on that schedule and sent to the customer.

How do I find jobs that were never invoiced?

The Outstanding Jobs page lists completed jobs with no invoice, so nothing is forgotten at month end.

Does FieldN send payment reminders?

Yes. Payment reminders and AMC renewal reminders go out by email, SMS, push or WhatsApp from your templates.
