Terms & Conditions

Who these terms apply to

• Customer / Company: the business that registers a company account and subscribes to the Service.
• User: any person who signs in to the Service under a Company account, including administrators, office staff and field staff.
• End Customer: a person who books, receives or pays for services from a Company through the booking app, the customer portal, WhatsApp or other channels connected to the Service.

If you use the Service on behalf of a Company you confirm that you are authorised to bind that Company to these Terms. The Company is responsible for the acts and omissions of its Users.

Accounts and security

• You must provide accurate registration information and keep it up to date.
• You must be at least 18 years old to create an account or act as a User.
• You are responsible for keeping your password, one-time passcodes, API keys and devices secure and for all activity that occurs under your account.
• Notify us immediately at the contact address below if you suspect unauthorised access to your account.
• Company administrators control which Users have access, what roles they hold and what data they can see. We are not responsible for access that a Company grants.

Licence and acceptable use

Subject to these Terms we grant you a limited, non-exclusive, non-transferable, revocable licence to use the Service, and to install and use the mobile apps on devices you own or control, for your Company's internal business purposes or, for End Customers, to book and manage services.

You agree not to:

• Use the Service for any unlawful purpose or in breach of any applicable law, including messaging, telecommunications, consumer protection and data protection laws.
• Send unsolicited or misleading messages (spam) through SMS, email, WhatsApp or other channels connected to the Service, or message people who have not consented to receive them where consent is required.
• Upload content that is unlawful, infringing, defamatory, obscene or harmful, or that contains malware.
• Attempt to gain unauthorised access to the Service, other accounts or related systems, or probe, scan or test their vulnerability without written permission.
• Copy, modify, reverse engineer, decompile or create derivative works of the Service, or remove proprietary notices.
• Resell, sublicense, rent or provide the Service to third parties except as part of your own services to End Customers.
• Interfere with the integrity or performance of the Service, including by excessive automated requests.
• Use the Service to build a competing product.

Your data and content

The Company retains all rights in the data, files and content it and its Users upload or create in the Service ("Customer Data"). You grant us a worldwide, royalty-free licence to host, copy, process, transmit and display Customer Data solely to provide, secure and improve the Service and as otherwise permitted by these Terms and the Privacy Policy.

The Company is responsible for the accuracy and legality of Customer Data, for having the necessary rights and consents to collect it (including from its employees and End Customers), and for configuring the Service in line with its legal obligations. We process personal data in Customer Data as a processor on the Company's behalf, as described in the Privacy Policy.

Records removed in the Service are soft-deleted and may be restored by a Company administrator for a limited period. You can request export or deletion of your Customer Data by contacting us.

Field staff app

The field staff app may record location, time, photos, signatures and notes as part of a User's work. The Company is responsible for informing its staff about this collection and for complying with employment and privacy laws that apply to it. Users should not use the app while driving and must comply with all traffic and safety laws.

Bookings, payments and End Customers

The Service enables Companies to offer bookings, estimates, invoices and payments to End Customers. Any service booked through FieldN is provided by the Company, not by Mycodlabs Technologies. The Company is solely responsible for its pricing, availability, quality of work, cancellations, refunds, warranties and for resolving disputes with End Customers.

Payments are processed by third-party payment providers under their own terms. We do not hold funds on behalf of Companies or End Customers. Prices shown to End Customers are set by the Company and may include taxes as configured by the Company.

Messaging and third-party integrations

The Service can connect to third-party channels and tools such as WhatsApp Business (Meta), SMS and email providers, payment processors, map providers and AI model providers. Your use of each integration is also subject to that provider's terms and policies, and the Company is responsible for any accounts, phone numbers, templates or API credentials it connects. Providers may change or withdraw their services, which may affect features of FieldN; we are not liable for such changes.

AI-assisted features

Optional AI features generate suggestions, drafts, summaries, reports and answers based on your Customer Data using the AI provider and credentials the Company configures. AI output may be inaccurate, incomplete or inappropriate. You are responsible for reviewing output before relying on it or sending it to anyone, and for any charges the AI provider bills to the Company's own API account. AI features are provided "as is" without warranty.

Subscriptions and fees

Access to the Service may be subject to subscription fees, user limits or usage limits set out in your order or plan. Fees are payable in advance, are non-refundable except where required by law, and exclude taxes unless stated otherwise. We may suspend the Service for accounts that remain unpaid after notice. Plan features and prices may change at renewal with at least 30 days' notice.

Intellectual property

The Service, including its software, design, documentation, trademarks and all improvements, is owned by Mycodlabs Technologies and its licensors and is protected by intellectual property laws. Except for the limited licence above, no rights are granted to you. Feedback you provide may be used by us without obligation.

Availability, support and changes

We aim to keep the Service available at all times but do not guarantee uninterrupted or error-free operation. We may perform maintenance, release updates, add or remove features and change the Service at any time. Mobile apps may require updates to continue working. Support is provided by email and WhatsApp during normal business hours.

Suspension and termination

You may stop using the Service and ask us to close your Company account at any time. We may suspend or terminate access immediately if you breach these Terms, create risk or legal exposure for us or others, or fail to pay fees after notice. On termination your licence ends; we will make Customer Data available for export for 30 days unless prohibited by law, after which it will be deleted in line with the Privacy Policy. Sections that by their nature should survive termination (including your data, intellectual property, warranties, liability and governing law) will survive.

Warranties and liability

The Service is provided "as is" and "as available". To the fullest extent permitted by law we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, accuracy and non-infringement. We do not warrant that the Service will meet your requirements, that scheduling, routing, estimates, tax or accounting calculations are error-free, or that data will never be lost. Keep your own records and verify financial and legal outputs.

To the fullest extent permitted by law, Mycodlabs Technologies and its officers, employees and suppliers will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data, goodwill or business interruption, arising out of or related to the Service or these Terms, even if advised of the possibility. Our total liability for all claims in any 12-month period will not exceed the fees paid by the Company to us for the Service in that period. Nothing in these Terms excludes liability that cannot be excluded by law.

Indemnity

The Company will defend and indemnify Mycodlabs Technologies against claims, losses and expenses (including reasonable legal fees) arising from Customer Data, the Company's services to End Customers, messages it sends through the Service, its breach of these Terms or its violation of law or third-party rights.

App store terms

If you download a FieldN app from the Apple App Store or Google Play, you also agree to that store's terms. Apple and Google are not parties to these Terms, have no obligation to provide support or maintenance for the app and are not responsible for any claims relating to it. Apple and its subsidiaries are third-party beneficiaries of these Terms with respect to the iOS app.

Changes to these terms

We may update these Terms. The "last updated" date at the top always reflects the current version. For material changes we will give Company administrators at least 30 days' notice by email or in the product before they take effect. Continuing to use the Service after that date means you accept the revised Terms.

Governing law

These Terms are governed by the laws of India, and the courts of India have jurisdiction over any dispute, without regard to conflict-of-law rules and without prejudice to mandatory consumer rights that apply where you live.
