Refund Policy

When you get your money back, how quickly, and the two cases where we do not refund.

MCPOS Cloud is sold as an annual subscription, per user. You can create a business and start billing free before you pay anything, so the intention is that nobody buys a paid plan without having used the product first.

This policy explains what happens when a paid subscription does not work out.

Try before you pay

The free tier is not a countdown trial. Create your business, add products, bill real customers and see whether it fits your counter. Move to a paid plan when you need the fuller module set, more users or more outlets.

This is deliberate: most refund requests exist because software was bought unseen, and we would rather you did not reach that point.

14-day money back on a first subscription

If you are unhappy with your first paid subscription, email us within 14 days of the payment and we will refund it in full. You do not have to justify the request.

  • Applies once per business, on the first paid term.
  • Applies to the subscription fee. Usage already consumed — AI requests and WhatsApp messages — is not refundable, because we were charged for it.
  • One-time services already delivered, such as data migration or staff training, are not covered.

Renewals

Renewals are not covered by the 14-day rule, because by then you have used the product for a year. We send a renewal notice in advance — tell us before the term ends and nothing is charged.

If a renewal charges you after you asked to cancel, that is our mistake and we refund it in full.

If we break something

If a fault on our side makes the service materially unusable for your business and we cannot fix it in a reasonable time, you are entitled to a pro-rata refund of the unused part of your term. The same applies if we materially reduce the functionality of your paid plan mid-term.

This is not conditional on you arguing for it. If we cannot deliver what you paid for, you should not be paying for it.

What we do not refund

Two cases, stated plainly so there is no surprise later:

  • Usage already consumed. AI requests and WhatsApp messages are billed on what you used, and third parties charged us for them at the time.
  • Unused subscription time you simply did not use. Deciding mid-year to stop using an annual plan does not trigger a refund of the remaining months — outside the 14-day window, or where the fault is ours.

We also do not refund payment gateway fees, which the gateway retains, or taxes we have already remitted.

App store purchases

Anything bought through Google Play or the Apple App Store is refunded by that store under its own policy and timescale, not by us. We cannot reverse a store transaction. Start with the store; if it declines and you think the case is fair, contact us and we will look at it.

How to request a refund

Email mcpos@mycodlabs.com with:

  • your business name as it appears in MCPOS;
  • the invoice number or payment date;
  • one line on what went wrong — useful to us, not a condition of the 14-day refund.

We acknowledge within 2 business days and, once approved, issue the refund within 10 business days to the original payment method. Your bank may take a few days more to show it.

Your data after a refund

A refund closes the paid subscription; it does not delete your business. Your data stays available for export for 90 days, as set out in the Terms of Service, so you leave with your records. Ask and we will delete it sooner.

Statutory rights

Nothing in this policy removes rights you have under the consumer law of your country. Where local law gives you a stronger refund right than this document, that law applies.
